February UOVA Monthly Meeting Minutes

2010 Budget is presented by Traci, she has changed her projections for membership to 300 for the year. Sundi motions to accept, Banyan seconds.
The Juniors Division is discussed. Sundi has presented a Junior’s Series, which will consist of the following tournaments hosting a junior tournament:
4/10 St. George
7/2 Park City
7/4 Dimple Dell
August – Park City
10/16 – St. George Closer
The Board votes to scratch the idea of presenting the TD’s gift cards to incent them to run a junior’s division. Sundi presents the idea of having each member of the Board volunteer one week at the drop-in to coach the junior’s on a specific skill. Shay will make a schedule out for this for the Board to approve.
Shea has contacted several high schools and wants to advertise the drop-in league there. We want to start the league for the junior’s on June 9th. Normal drop-in league will begin May 12th.
Schedule for 2010 – the tentative schedule is reviewed. Different formats are discussed for the different tournaments. Sundi is interested in running a parent/child division at the two UOVA sponsored tournaments if possible.
Net transport – the board discusses what might be the easiest method to store and transport the nets from one TD to the next. Do they need returned to Amelia in-between or can the TD’s give them to each other? Amelia does not think she can continue to store them at Redwood, so we need to figure out a new place. Amelia will work on this. Has Lon ordered the 4 new nets that were approved last year?
On-line membership numbers – Banyan has set aside blocks of numbers for on-line use. They are:
Adults 10401-10700
Juniors (w/ shirts) 10801-10850
Juniors (w/o shirts) 10901-10950
All else – 10000-10400
Shea is going to work on redesigning the cover for the Rules book and for the TD Handbook.
Kevin is going to look through the 2009 Rule Book to make sure it’s ready to print. The Board votes to print paper copies of this again this year.
Open – Bob and Sundi need to speak with Mike at Wasatch and see what his plans are for Open. The Board votes to keep the Open points in the UOVA format rather than the format that Wasatch uses. So, points will not be combined with Wasatch.
The Board discusses what to put into the member bags. We need to try to secure some coupons. We also want t-shirts, Rules Book, and a schedule. Kevin will look into the cost of using a little bit bigger of a bag this year (one big enough for a ball maybe.) We will need 300 of whatever we get.
Outsourcing our mailings – Lon is still checking into this.
Printing of shirts and sweatshirts – the Board decided to print long-sleeve shirts and sweatshirts for the 2010 season – to sale to our members. We will not offer an upgrade option for the membership t-shirt though. We decide on 100 long-sleeve shirts and between 50-75 sweatshirts. Kevin will look into pricing.
Tournament Director’s Meeting – Scheduled for March 2nd at 11:30am at Westminster.
