April UOVA Monthly Meeting Minutes

Notes from March are reviewed and accepted.
Financials – Requests for reimbursement as follows: Lon, printing, total of $938. Kevin, canopy, total of $103.55. Accepted and paid.
Old Business:
• Shay has been collecting e-mails and she has a flyer ready to mail for the drop-in clinic. Juniors drop-in is scheduled to start June 9th. Shay needs to send a form out for the Board to sign up for what day(s) they would like to run the clinic. The Board votes that we can allow Casey and Angie Adams to trade in their old balls for use at this clinic. We will sell them new balls at a discounted rate to make it worth it for them. Total of 7 balls is approved to trade. They have been informed of this plan and are waiting for Bob to obtain the new balls for them.
Long-sleeve shirts and hoodies – Kevin is having them printed. We vote to sell them to our members for $10 (shirts) and $20 (hoodies.) The cost is $7.25 and $16.50 respectively. The Board gives Kevin our personal orders, and can purchase at cost.
Bob thinks that we should reconsider the format of the Tournament Director’s meeting. He wants it to be more of an open format. It is discussed but nothing is decided for sure.
The Net Set-Up clinic is scheduled for Wednesday, April 14th at 6:30 at Cottonwood Complex. Lon will be running it. Banyan will put the info on the website and on Facebook.
Bob brings up the issue of insurance requirements. He would like to see them updated on our requirements sheet because nobody is following the current standards and we need to consider our personal liability. Traci will look into the paperwork.
Lori brings up donation thank-you’s and what is appropriate. It is decided to send thank you notes – Lori will head this up. We will also plan on sending something nice to our large donors for Christmas.
Tournament Follow-Up – should we routinely do this? Consensus of yes. We should sit down with them while we are there and then follow up with an e-mail to see how they think things went with their tournament.
Rep duties – when players sign up for UOVA on-line, they do NOT need to fill out the paperwork day of anymore.
Non-profit mailing status – we have been denied. Lon will look into it and try again.
Free UOVA Memberships – Who all should the board offer free UOVA memberships to for 2010? We vote for Dustin, Ty Hubbard, Larry, and one more net person. Casey Adams declines to receive a free membership, and does not want to run Men’s Open this year.
The Board votes NO on accepting links for the website from sponsors.
It is voted to change the start time of the Opener to 10am. This will be communicated through the website.
Wasatch Beach – Sundi and Bob will check with Sports Mall to see how things are going over there and report in May.
