May UOVA Monthly Meeting Notes

Approval of April Board Minutes – not available, postponed

Financial Report: Presented by Traci
Reimbursements: Bob: $1136.15 –Volleyballs, Taunzia : $12.82 – Lamination for poster
Bob used $15 from petty cash to comp entry fee for Cory Carpenter at Wasatch.

Old Business:
Email Blast White list – Lori – waiting for approval from company that does white listing.

New Online UOVA Membership Registration: Banyan – Need to be able to assign number online.
No new progress. Banyan will work on it this month.

Gift for Robert Taylor for website work:
1 TB External Hard Drive: Bob motions, Stacy seconds. Banyan will purchase.

New UOVA Officers: Treasurer or President. Traci has been doing both. We need to get Lyndsey on bank account so she can get credit card for mailings, and also get Lori on bank account. Lori will be Treasurer. Lori may already be on account. Traci will check. Stacy motions, Amelia seconds. None opposed.

Flickr upgrade: Bob – We have maxed out our current free Flickr account. An upgrade provides unlimited uploads and storage, costs $25 for 1 year, $48 for 2. Motion to approve upgrade by Banyan, second by Lori.

Camera & Pictures – Takes a couple seconds for the image to take. Have to anticipate when to press button to get good picture. Bob will test rapid-shoot mode this weekend. UOVA rep should take pictures of Ball winner each weekend.

Wilson Volleyballs: Bob has all of them. Currently 1 in UOVA case, 1 in Open case. We are selling balls to UOVA members for $40. We will post online that balls are available and keep 4 or 5 in case. Traci, Amelia, Lon and reps will take some balls.

Logo and Trademark renewal: Banyan will follow up and re-apply.

Rep Responsibilities: Bob printed copies for everyone, and put a cardstock copy in binders.
Sand Divisions: just for UOVA Sand Tournaments (Clearfield, Park City, etc).
Wasatch: Still waiting for approval
Grass: MOST IMPORTANT. This section spells out what to do so we can get pools out on time. But this isn’t an instruction manual. Traci has detailed instructions from before, Bob will look at incorporating or referencing.
Secondary rep is “Tournament Helper” with all the new responsibilities
Directors need to check list for Net Setup. They can contact Lon if they need someone contacted.
Tournament evaluation form – get duplicate forms? We need to get these filled out and at least go over with the director.
We need to make sure we are familiar with responsibilities, especially if we are “training” a new rep helper, so tournament directors get the benefit of comping the third rep.

Ball drawing for Wasatch: We agree to do this at Board Meeting each month. First winner: Chase Andrews.  Players get one entry for each tournament as long as they check in at the UOVA desk, but most players don’t know about this so they aren’t checking in. Traci will email Bob a list of Wasatch players. Bob will email these players about checking in each tournament for the monthly ball drawing.

Womens Divisions – Lon: Proposes allowing men to play in a womens division with their daughter. Decision: We do not want to change the rules. Any exception requests need to be sent to the board in writing for a specific tournament. Requests will be considered on a case-by-case basis.
Lon asks if all exceptions to the standard ( ie. boys playing in Women, or playing in Coed with another guy) should need to be submitted for board approval on an individual basis. Decision: We’ll keep the rules as currently stated: boys 14 and under may play in a womens division or play with another guy in a Coed tournament and do not need specific approval from the board to do so.

AA Division – tournament directors can set up pool how they want (using short or regular courts and whether or not to use antennas).

Net Setup clinic – Lon: Next clinic is May 27 at 6:30 pm. Traci will check with Lindsey to see if they can do it at Dimple Dell.
